The short version: we collect the minimum we need to reply to you and run the business. We don't sell your data, and you can ask us to see or delete it at any time.
Who we are
WebWise is a web design studio based in London, UK, working with clients in the UK and worldwide. For the personal data described here, WebWise is the data controller. Contact us at hello@webwise.digital.
When we build, host or maintain a website for a client, the client controls the data their website collects and we act as their processor. That's covered in section 10 of our Terms of Service.
What we collect
- Enquiries: your name, email, phone number, business details and anything you tell us about your project, when you use a contact or quote form, email, call or message us.
- Clients: contact and billing details, and the information needed to deliver and invoice your project.
- Newsletter: your email address, if you sign up.
- Website usage: with your consent, anonymised analytics about the pages you visit. See our Cookie Policy.
- Security logs: IP address, browser and pages requested, used to keep the site secure.
Why we use it, and our lawful basis
- To reply to your enquiry and give you a quote: steps you've asked us to take before a contract.
- To deliver your project, host your site and invoice you: to perform our contract with you.
- To keep tax and accounting records: a legal obligation.
- To send our newsletter: your consent, which you can withdraw at any time.
- To keep the site secure and stop spam: our legitimate interests.
- To measure how the site is used: your consent, through the cookie banner.
Who we share it with
We only share data with trusted providers who help us run the business, under contracts that protect it:
- our website host and database;
- our email delivery service, for replies, quotes, invoices and the newsletter;
- Google Analytics (only with your consent) and Google reCAPTCHA (bot protection on our forms);
- Telegram, which we use to alert us to new enquiries;
- our accountant and HMRC, where needed for tax.
We never sell your data or share it for other companies' marketing.
International transfers
Some of these providers may store or process data outside the UK. When that happens we make sure appropriate safeguards are in place, such as UK adequacy regulations or the UK International Data Transfer Agreement or Addendum. If you're outside the UK, your data will be handled in the UK and by the providers above.
How long we keep it
- Enquiries that don't become projects: up to 2 years, then deleted.
- Client and billing records: 6 years after the end of the tax year they relate to, as UK tax law requires.
- Newsletter: until you unsubscribe.
- Security logs: 30 days.
Your rights
Under UK GDPR (and the EU GDPR if you're in the EU), you can ask us to:
- show you the data we hold about you;
- correct anything that's wrong;
- delete it;
- restrict or object to how we use it;
- give you a copy to take elsewhere.
Email hello@webwise.digital and we'll reply within one month. If you're unhappy with how we've handled your data, you can complain to the UK Information Commissioner's Office (ico.org.uk), or to the data protection authority in your own country.
Changes
We'll update this page if anything changes. The date at the top shows when it was last updated.
